Case Studies

Case Study # 1:

BAMSI: Brockton, Massachusetts
BAMSI is a private, non-profit human services organization founded in 1975 to provide services to adults and children with developmental disabilities, mental illness, behavioral health, and public health needs.

Stephanie Puleo, Employment Manager HR

BAMSI chose AutoHire based on the recommendation from a BAMSI employee that previously worked for another company using AutoHire.

Stephanie told us,

BAMSI is using AutoHire to assist with our hiring needs such as streamlining our process, reducing paper and improving tracking of jobs and candidates. It also provided us with better metric reporting capabilities.

What do you like most about using AutoHire?

The customer service and support, and the reporting and tracking capabilities.

Did you see a Return on Investment with AutoHire?

Yes. We have reduced our advertising cost by 80% since we started using AutoHire. It also takes us less time to fill open positions.

What are the three biggest benefits of working with using AutoHire?

1) Customer service
2) Availability of customizations
3) Reporting and tracking capabilities

Is there anything else you'd like to add that I haven't yet asked about?

The life of the position I hold in the company has changed since we began using AutoHire. There has been a reduction in paperwork, less time required to complete certain tasks, and there is less foot traffic required within the facility.

If you were to recommend AutoHire to a colleague, friend, or business associate, how would you describe the way we have provided service to you or the way we have helped you achieve a certain result?

The product knowledge and suggestions offered by the AutoHire staff is very useful. The product itself has provided the opportunity to view/track the life cycle of both jobs and candidates.

This client recommends AutoHire for its reporting and tracking capability, reducing paper work and the customer support.

Case Study # 2:

Cree: Durham, North Carolina
Cree is leading the LED lighting revolution and setting the stage to obsolete the incandescent light bulb through the use of energy-efficient, environmentally friendly LED lighting.

Sean Brody, Recruiting Specialist

Cree’s deciding factors in choosing AutoHire were the cost in comparison to other applicant tracking systems, and the option to purchase the system outright.

Sean told us,

I like AutoHire’s ease of us. The menus are easy to navigate, the system is very user friendly, and it is easy to train new system users.

Did you see a Return on Investment with AutoHire?

It has reduced our reliance on outside staffing agencies and we have also had a reduction in other advertising costs (print and web).

What are the three biggest benefits of using AutoHire?

1) Ease of use
2) Web based access
3) Scalability – specifically the ability to have candidate job application statuses added, changed and removed as needed. Using AutoHire to manage job candidates this way has enabled us to get ahead of the curve with government reporting requirements by implementing new status codes quickly. The ad-hoc reporting feature has also been useful to us for reporting in the event of an audit.

If you were to recommend AutoHire to a colleague, friend, or business associate, how would you describe the way we have provided our service to you or the way we have helped you achieve a certain result?

The AutoHire staff is always readily available and responsive, and they provide fantastic customer service. This is our primary reason for continuing to use AutoHire.

Is there anything else you'd like to add that I haven't yet asked about?

I would recommend the AutoHire system for companies that are using another system and want to use something more scalable. I would also recommend it for those that have not used a recruitment system and want to get started with an applicant tracking system.

This client recommends AutoHire for its scalability, applicant tracking capabilities, customer service, ease of use and its web based access.

Case Study # 3:

Dover Downs: Dover, Delaware
Dover Downs, Delaware's Home for casino, slots, live horse racing, luxury hotel, dining and entertainment showplace.

Karen Smith, HR Administrative Assistant

Dover Downs Hotel & Casino is one of the largest employers in Central Delaware and has grown to employ approximately 1,000 full and part time employees in various positions. Dover Downs started using AutoHire prior to Karen Smith’s employment. Her preconceived notions about using AutoHire were that it was not an easy system to navigate, and that it did not do the job.

Karen told us,

My perception changed as I established a working email relationship with my support representative and I used the system 7 hours a day for a year. I asked my support rep a lot of questions, she provided detailed written answers, and I learned to use the system in ways it was never used before at our company. I am able to navigate the system quickly now and as a result, even my manager has changed his views on the system as a viable tool.

What do you like most about using AutoHire?

It has a logical feel to it and when something does not feel logical, I contact my support representative right away and we sort through it together.

Did you see a Return on Investment with AutoHire?

Yes. Making use of the “candidate notes” feature has enabled me to utilize more of my time working with viable candidate applications versus looking at the same candidate records over and over. Also, we use AutoHire as the first method of advertising job openings now and do not use outside paid advertising unless we can’t fill the position from the candidate pool submitted through our AutoHire career site in a reasonable amount of time.

Did you have any objections/hesitations before you decide to use AutoHire? If so, what were they? How did we overcome your hesitation and objections?

I had a lot of hesitation. Due to a change in management and staff, the full capabilities of AutoHire were not understood within our company when I came on board. I overcame this by spending a great deal of my time learning about the system and the many features it had to offer.

What are the three biggest benefits of working with using AutoHire? Or, how has your life changed/things changed since you began using our product?

1) I like the note fields for individual candidate job application records and also the general notes feature for those applicant records that have real problems overall.
2) It saves a lot of time when I can get back to a hiring manager with the notes of another hiring manager on an interview.
3) The ability to have new candidate job application statuses to meet my needs added upon request. This has made it much easier for me to categorize candidates appropriately for easy reference in the future.

If you were to recommend AutoHire to a colleague, friend, or business associate, how would you describe the way we have provided our service to you (or, the way we have helped you achieve a certain result)?

I would say develop a personal relationship with your AutoHire representative. She can help you drive in directions you never thought possible and open your mind to other ways you can use fields within the system.

Also be open to making mistakes because you never learn more than you do when you make a mistake. Once you resolve yourself to this, your AutoHire rep will be happy to explain the issue, provide guidance on how to avoid it, and offer suggestions on different ways to approach the task at hand.

Give yourself plenty of time to become familiar with and learn the ins and outs of the system. A minimum of 6 months using it for hours every day helped me understand enough to ask for the assistance I needed to seek more effective solutions.

Had additional discussion with Karen about their need for several additional fields on the job requisition to enable more effective “time to fill” reporting. I identified 4 available fields currently not being used that we can easily re-label for this purpose. Karen Smith will discuss this with the Human Resources Manager (Greg Gyarmati) and will follow up with us in the near future.

This client recommends AutoHire for its time saving features. She specifically mentioned the individual candidate job application records, the general notes feature, and the ability to have new candidate job application statuses added upon request.

Case Study # 4:

Septa: Philadelphia, Pennsylvania
Septa is the Southeastern Pennsylvania Transportation Authority serving Bucks, Chester, Delaware, Montgomery, and Philadelphia Counties.

Joe Quinn, Manager, Manpower Planning

Septa operates on a bidding format and AutoHire was the lowest, responsive bidder presenting a product and proposal that would meet the needs of the organization.

Joe told us,

Septa reviewed a number of competitor “Cadillac” type products, determined that they could not afford these, and found that AutoHire offered the most competitive bid for a system that would provide what Septa was looking for. The fact that the AutoHire system could be customized to meet Septa’s needs was also a big plus.

What were your preconceived notions about using AutoHire?

Septa had concerns about the fact that the AutoHire home office was located out of their service area and they wouldn’t be able to see and meet with the AutoHire team on a regular basis. The same concerns applied in regard to providing adequate customer service due to AutoHire’s distance from the Philadelphia area, lack of familiarity with Septa’s business, and little understanding of the demographic of their potential job candidates.

How has that perception changed since you selected AutoHire?

There has been no loss of productivity or effectiveness due to AutoHire’s location or initial lack of familiarity with the demographic of potential job candidates in the Philadelphia area.

What do you like most about using AutoHire?

We like AutoHire for the customer service and the terrific responsiveness. The system has been up and running 99.9% of the time and the team has always responded quickly to questions, service inquiries and problems.

Did you see a Return on Investment with AutoHire?

Yes – we are spending $70,000 - $90,000 less annually on display advertising since we started using AutoHire. We are also getting a good, diverse pool of candidates which assists us in satisfying EEO requirements.

Did you have any objections/hesitations before you decide to use AutoHire? If so, what were they? How did we overcome your hesitation and objections?

AutoHire overcame these hesitations and objections by their presentation, onsite implementation planning and in house training.

What are the three biggest benefits of working with using AutoHire? Or, how has your life changed/things changed since you began using our product?

1) Having a portal that provide hiring managers with access to the system gives the Septa Recruiting Department a greater level of credibility and buy-in with the hiring managers.
2) The paperless screening process has improved workflow management and communication. Using the AutoHire system has streamlined our recruiting process and helped us move forward with using a lot less paper.
3) The system pre-screening question feature automatically eliminates not qualified candidates which helps with EEO and OFCCP compliance.

If you were to recommend AutoHire to a colleague, friend, or business associate, how would you describe the way we provided our service to you (or, the way we helped you achieve a certain result)?

The customer service has been very focused, responsive and effective. The AutoHire team has adapted to and met Septa’s needs.

Is there anything else you'd like to add that I haven't yet asked about?

The programming team’s assistance and responsiveness has always been invaluable. The development of customized add-ons to meet Septa’s unique requirements has been very helpful.

Joe Quinn mentioned that due to organization requirements, Septa will not be able to go with a sole source renewal when the current contract ends. They will have to put the RFP out for bids. We did have some discussion about adding the Onboarding feature and he is interested in seeing a demo of what we have done for other customers on this in the near future.

This client recommends AutoHire for its teamwork and customer service. The client emphasized the benefits of the paperless workflow, the customized portal that provides hiring managers with limited access, and the pre-screening question feature.

CONCLUSION
Regardless of the economic climate, the size of a company or an organization’s field of endeavor, no aspect of an organization plays more of a role in its success than its ability to attract, hire and retain the right people. The hiring process, in which a great deal of information must be collected and analyzed, is an area that can particularly benefit from a systematic and automated approach.

The AutoHire system is not a substitute for the judgment and experience of hiring managers. It does, however, allow those managers to do their jobs better. The platform is designed to streamline the process of job posting, information gathering and applicant screening without forcing arbitrary demands on users. AutoHire allows users to customize the process in a multitude of ways and, through its built-in question system, to obtain useful information that might otherwise be missed. Managers are freed from some of the traditionally time-consuming tasks that can get in the way of assessing the hiring process as a whole, let alone its contribution to broader organizational goals.
